Businesses are experiencing an increased use of computers and electronic documents (word, excel, power point, marketing materials, engineering models and drawings, ect.). As these businesses adopt greater use of electronic documents the need for keeping them organized and controlled is increasing.
New software applications are driving new methodology in document control. These new software applications keep track of projects, permissions, revisions, and organize all the documents into one known area- the company ‘Vault’. Access to this vault is done by using many of the already existing search functions of the windows environment.
Projects hold characteristics of the participants and timelines. The participants in that project are given a set of permissions to control who and when these documents can be accessed. Review of released documents is communicated by the use of email check points. Flow charts allow the team to see where documents are in the process graphically.
